Frontvo provides an AI receptionist that answers inbound phone calls on behalf of business clients. This policy explains what we collect, why, and what we do with it.
Who we are
Frontvo is operated from Ontario, Canada. For any privacy question or request, email privacy@frontvo.com.
Information we collect
From our business clients
- Business name, address, service area, hours, services and pricing rules you give us so the agent can answer accurately.
- Contact details for the people we work with: name, email, phone.
- Billing information, processed by our payment provider. We do not store full card numbers.
From callers to a client's line
- Caller phone number and the time and length of the call.
- An audio recording and/or written transcript of the conversation.
- Details the caller provides: name, callback number, address or service location, what they are calling about, and appointment preferences.
From this website
- Standard server and analytics data such as pages viewed and approximate region.
- Anything you type into a booking or contact form.
Why we use it
- To answer calls, book appointments, and pass leads to the business you called.
- To configure, test and improve the agent for that specific business.
- To bill clients and provide support.
- To meet legal obligations.
Who owns call data
Call recordings, transcripts and lead records belong to the business client whose line the call came in on. Frontvo processes that data on their behalf. We do not sell it, rent it, or share it with advertisers or data brokers.
Who we share it with
We use third-party service providers to operate Frontvo, including a voice AI provider, a workflow automation platform, telephony carriers, calendar and CRM providers our clients ask us to connect to, a scheduling tool, and a payment processor. Each receives only what it needs to do its job. A current list of these providers is available to clients on request.
We may also disclose information where we are legally required to.
Call recording and consent
Call recording law differs by province and state. Where a disclosure is required, the agent states at the start of the call that the call may be recorded. Business clients are responsible for making sure recording and disclosure settings on their line meet the law where they and their callers are located. We will configure the agent to whatever disclosure a client requires.
How long we keep it
Call recordings, transcripts and lead records are retained for as long as the client account is active, unless the client asks for a shorter retention period. On written request we will delete a client's call data, subject to any records we must keep for legal or accounting reasons. Ask us and we will confirm the retention period configured on your account in writing.
Your rights
If you are in Canada, you have rights under PIPEDA and applicable provincial privacy law, including the right to ask what personal information we hold about you, to have it corrected, and to withdraw consent. If you called a business that uses Frontvo and want your information removed, email privacy@frontvo.com and we will handle the request with that business.
Children
Frontvo is a service sold to businesses and is not directed at children.
Changes
If we change this policy we will update the date at the top of this page and, for material changes, tell active clients directly.
